One of the most common corporate entertainment questions sounds simple:

Should we hire a band or a DJ?

The answer is equally simple.

It depends.

There isn't a universally correct choice because a live band and a DJ do different jobs extremely well.

How Much Does a Party Band Cost in Atlanta?

If you've started looking for a party band in Atlanta, you've probably discovered something frustrating:

Nobody seems to put the price on the website.

There's a reason for that.

Hiring a professional event band isn't quite like ordering something from a menu. The same band can play two events with dramatically different production, staffing, travel and scheduling requirements.

For planning purposes, a professional Atlanta event band should generally be treated as a several-thousand-dollar entertainment expense, while larger premium bands and more complicated productions can move well into five figures. Current Atlanta listings illustrate just how wide that range can be.

The more useful question is:

What am I actually paying for?

What Determines the Price of a Live Band?

1. Number of Musicians

This is the obvious one.

A four-piece rock band has fewer people to pay than a ten-piece dance band with multiple singers, horns and additional production personnel.

More musicians can create a bigger visual and musical experience, but every additional person also affects transportation, meals, lodging, stage size and labor.

That doesn't automatically mean bigger is better.

It means the right band should fit the event.

2. The Date

Saturday nights are valuable.

So are New Year's Eve, popular wedding dates and peak corporate holiday-party weekends.

When a band accepts your event, they're usually turning down every other opportunity for that same date. Prime dates therefore tend to command higher rates than a Wednesday corporate reception in February.

If your date is flexible, ask.

Sometimes moving an event by a day can significantly change entertainment availability.

3. Performance Time

There's a difference between hiring a band for a 60-minute concert and hiring entertainment that will be responsible for a four-hour reception.

Longer events may require multiple sets, breaks, additional music between performances and a more involved schedule.

The musicians may only be physically performing for part of the day, but they're typically committed to your event for much longer.

4. Sound, Lighting and Production

This is one of the biggest variables.

Does the venue already have a professional sound system?

Does the band need to provide everything?

Are you entertaining 100 people inside a restaurant or 1,500 people outdoors?

A professional production package may include:

PA system
Digital mixing console
Wireless microphones
Stage monitors or in-ear monitoring
Subwoofers

Production can represent a meaningful portion of the quote—and that's not a bad thing.

The audience doesn't care how good the band is if they can't hear it.

A $4,000 quote that requires another $3,000 in production isn't necessarily cheaper than a $6,500 turnkey package.

Why Isn't the Cheapest Band Always the Best Deal?

There are plenty of excellent musicians who will play a gig inexpensively.

That isn't the same as hiring an event-ready band.

For professional events, you're also buying reliability.

Will they send the contract?

Will they provide the COI?

Can they send a stage plot?

Can they work with the AV company?

Can they manage their stage volume?

Will everyone arrive on time?

Do they have backup plans when equipment fails?

These things aren't exciting until they're missing.

Then they're very exciting.

Estimated guest count
Desired performance schedule

Production already available
Approximate entertainment budget

Budget is especially useful.

It doesn't mean the entertainment company automatically charges whatever number you provide. It helps determine what options are realistically available.

If you have $5,000 allocated for entertainment, we'd rather recommend the strongest option that fits the budget than spend three days designing a $12,000 proposal nobody can use.
